CHECK IN/OUT PROCESS

PROCESS:

  • Open Outreach Materials Check Out Form, also located on the YConnect Marketing ​Page
    • Departments > Marketing > Outreach Kit
  • On the day of scheduled pick up, pick up items in Association Storage.
    • If checking out giveaway materials, please fill out the physical form attached ​to the items box.
  • Keep outreach materials safely housed at your branch in between check in/out and ​your event.
  • When event is complete, ensure materials are clean and packed in an organized ​manner for ease of use for the next event.
  • Return item(s) to Association Storage the following day (or following Monday if ​weekend event). Return time extension may be approved by Sierra.
  • Complete check in information on physical form in Association Storage.

OUTREACH EVENT ETIQUETTE & BEST PRACTICES

PREPARATION

  • Do your homework. Study our membership benefits and programs in advance so you are ready to answer questions without having to look them up.
  • Check your supplies in advance to ensure you have enough materials on hand to last through the event.
  • Wear your name badge and Y apparel.
  • Have a pen and paper on hand.
  • Arrive early to the venue to give yourself time to set-up the tent and organize your table

TABLE SET UP & TAKE DOWN

  • Layout all items in an organized fashion so it appears uncluttered.
  • Do not cover entire table with items so you have room to work.
  • Contain any promotional giveaways in a container vs. loose on the table.
  • When packing up, organize everything for future use.
  • Note any items that may need to be restocked.
  • If the tablecloth gets soiled, please launder it before returning it.
  • If the event tent is wet, please dry it (at your branch if needed) before packing and returning it.

EVENT ETIQUETTE

  • Make eye contact and smile as people walk by.
  • Engage in conversation with open ended questions as opposed to yes or no questions.
  • Make sure your conversations are appropriate and professional (i.e. do not ask questions that may be deemed personal or use curse words).
  • If tabling with other staff, make sure you are available to anyone walking up to the table rather than engaging in conversation with your team member. If you look busy, people ​will be less likely to approach.
  • Do not have your phone or laptop on the table. If you need to make a call, step away from the table.
  • Replenish brochures, Try the Y passes, and other giveaway materials as needed.
  • Collect prospect contact information (either through a sign up sheet or google form) and offer them a promotional item.
  • Thank them for stopping by when they leave.
  • HAVE FUN!

Setting Up for an Event:

  • Familiarize yourself with YMCA ​programs, check supplies, wear ​your name badge and Y apparel, ​and arrive early to set up.


  • Organize the table neatly, use ​containers for giveaways, and ​keep space clear for working.


  • Engage attendees with smiles ​and open-ended questions, stay ​focused on guests, avoid ​personal conversations, and ​keep your phone/laptop off the ​table.


  • Restock materials as needed, ​collect contact information, ​thank attendees, and ensure all ​equipment is clean and dry ​before returning.


  • Enjoy the event while ​representing the Y.
